Best Practices for Securing PDF Documents

In the digital age, sending contracts, tax documents, or medical records via email is standard practice. However, email is inherently insecure. Password-protecting your PDFs is a critical step in safeguarding your data.

1. Use Strong Encryption Standards

Early versions of the PDF specification used weak 40-bit RC4 encryption, which can be cracked in seconds by modern computers.

When using the LensText PDF Password Protector tool, we utilize industry-standard AES-256 encryption. AES-256 is military-grade cryptography. Even with the world's most powerful supercomputers, a brute-force attack against AES-256 would take billions of years.

2. Choose a Strong Password

AES-256 is incredibly strong, but it is entirely useless if your password is "password123". A hacker won't try to break the encryption algorithm; they will try to guess your password.

  • Use a mix of uppercase, lowercase, numbers, and symbols.
  • Aim for at least 12-16 characters.
  • Use a password manager to generate and store the password.

3. Don't Send the Password in the Same Email

If an attacker intercepts your email, and both the encrypted PDF and the password are in the same message, the encryption is useless.

Best Practice: Send the encrypted PDF via email, and text the password to the recipient via a secure messaging app like Signal or WhatsApp.

4. Restrict Permissions

Sometimes you want someone to read a document, but you don't want them to print it or copy the text. LensText allows you to set "Owner Permissions" when encrypting a PDF. You can explicitly disable printing and text extraction, adding an extra layer of digital rights management to your files.
